Job Description
Career.zycto is actively seeking an exceptional and highly organized Executive Assistant to provide comprehensive administrative and strategic support to our senior leadership team in Cambridge, Ontario. This full-time role is much more than managing calendars; it’s about being a proactive partner, anticipating needs, streamlining operations, and contributing significantly to the smooth execution of our business objectives. You will be at the heart of our executive operations, serving as a critical liaison between executives, internal departments, and external stakeholders.

Key Responsibilities
- Provide high-level administrative support, including managing complex calendars, scheduling meetings, and coordinating travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Act as a primary point of contact for internal and external stakeholders on matters pertaining to the executives.
- Research, prioritize, and follow up on incoming issues and concerns addressed to the executives, including those of a sensitive or confidential nature.
- Coordinate and prepare materials for board meetings, executive team meetings, and other key gatherings, including drafting agendas and recording minutes.
- Assist in the planning and execution of company events and special projects.
- Maintain an organized filing system of paper and electronic documents.
- Process expense reports and manage petty cash if required.
- Conduct research, compile data, and prepare reports as needed by the executive team.
Required Skills
- Minimum of 4 years of experience as an Executive Assistant supporting senior-level management.
- Exceptional written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools.
- Demonstrated ability to handle confidential information with discretion and professionalism.
- Strong organizational skills with the ability to prioritize multiple tasks seamlessly with excellent attention to detail.
- Proactive approach to problem-solving with strong decision-making capabilities.
- Ability to work independently and as part of a team in a fast-paced environment.
Preferred Qualifications
- Post-secondary education in Business Administration, Office Administration, or a related field.
- Experience working within a professional services or consulting firm.
- Familiarity with project management software (e.g., Asana, Trello) or CRM systems.
- Experience with event planning and coordination.
